About Role:
The Workplace Services Group is responsible for managing Northern Trust’s own real estate portfolio comprising approximately 110 properties totalling 4.5m sqft. Properties are located across 20 states of the US and 20 countries around the world. Total occupancy costs for the company are approximately 240m USD per annum. The International Real Estate portfolio consists of approximately 1.5m sqft of space across 30 properties in 17 countries in EMEA and APAC region. The portfolio is 100% leased.

This is an individual contributor role reporting to the Head of Workplace Strategy. Due to the geographical coverage required, this role will be based in APAC.

This role will have the responsibility for strategically managing a project portfolio comprising an average workload of an estimated 5 office capital projects. They will be accountable for workplace strategy, design and construction services at 14 Sites. Strong leadership and proven capabilities in project implementation, focusing on quality, innovation and exemplary client service .

Key responsibilities:
Project execution
  • Lead project from an internal client perspective. Responsible and accountable for delivery of all new capital build outs from a time cost and quality perspective from inception to completion
  • Leverage corporate standards where available in areas such as workplace strategy, vendor agreements, technical standards
  • Develop specific client requirements and establish clear and verifiable expectations. Identify and manage Stakeholder's needs. Coordinate project requirements and implementation between internal partners (IT, Security, AV etc.).
  • Coordinate internal stakeholders which includes internal clients, facilities management, global engineering, global security, IT, comms and change management
  • Manage implementation of projects, including identification and mitigation of risks and issues. Ensure projects are conducted safely, efficiently and with minimal impact to the business. Ensure that punch lists and project closeouts are handled in a timely fashion, according to bank policy.
  • In conjunction with the team, lead the development of the scope of work and creation of a detailed project schedule.
  • Manage actual schedule and costs against the project estimates. Report significant variances and develop corrective action plans.
  • Review and approve all project payments . Ensure that compliance rules are fulfilled and project records are complete.
  • Communicate effectively with staff and management on status, issues, risks, project goals and objectives.
  • Report on program performance to senior management including highlighting issues, mitigation plans and progress.
  • Work with governmental and nongovernmental jurisdictional authorities for permitting design approval and construction implementation.
  • Execute based on approved funding. Project plans typically include scope, schedule, cost, quality, roles and responsibilities, communication, staffing, risk and issue management.
  • Provide initial budgeting, and through the project cost management and ultimate final account
  • Accurate forecasting of costs for job completion
RFP & Vendor Management
  • Work within Corporate Procurement guidelines to appoint and manage external vendors required to execute project to include project managers, design consultants, general contractors, and specialist contractors such as furniture and AV installers
  • Coordinate capital planning activities for the business with internal asset managers and cost managers. Release projects to third party providers at appropriate time to deliver projects in line with business commitments and maintain a steady workflow for the capital projects organization.
  • Responsible for managing contractual issues
  • Analyse bids, interview bidders and evaluate qualifications.
  • Manage relationship with multiple strategic outsourced service providers, including monitoring of performance /KPIs and any corrective actions required.
Workplace Strategy
  • Develop strategies that compliment and support business goals. Translate strategic requirements to into practicable tactics and designs.
  • Develop specific client requirements and establish clear and verifiable expectations. Identify and manage Stakeholder's needs. Coordinate project requirements and implementation between internal partners (IT, Security, AV etc.).
  • Understand the dependencies including change management and inter-relationships of the tasks and deliverables required for a successful outcome and obtain commitment to the plans.
  • Prioritize the partner experience and identify work space changes that inspire performance. Build a business case for change and obtain buy-in from senior leadership team. Lead relationships with external design/architectural partners to solidify concepts for launch - learn, iterate repeat.
  • Leverage data and perform analysis of factors that affect the workplace (i.e. employee work patterns, communication, process integration, organizational culture, workplace effectiveness etc.) Once changes are implemented, analysis impact of these changes .
  • Provide guidance to architectural design staff to use workplace solutions that enable best outcome for project stakeholders
  • Create and promote a culture of transparency, innovation and continuous improvement in the project delivery process and continually look for ways to improve organizational performance.
Knowledge and Skills:
  • Organizational skills: Ability to plan own activities, prioritizing work appropriately with minimal guidance. Able to multi task and juggle multiple interactions and projects simultaneously across geographies. Demonstrates effective time management.
  • Execution skills: Follows processes and reporting requirements. Handles work in a timely, accurate and thorough manner. Demonstrates ownership of tasks ensuring excellent attention to detail. Meets deadlines and knows when to escalate issues in a timely manner. Looks to introduce process improvement where possible using own initiative.
  • Teamwork: Demonstrates flexibility and a willingness to support colleagues with workloads as needed. Is flexible and willing to adapt and take on different responsibilities to support the team. Shows accountability and ownership for team goals in addition to own objectives.
  • Technical Skills: Deep knowledge of Project Management and an understanding of facilities implications on implementation and execution.:
o Extensive Project Management expertise for interior construction in multi tenant buildings, preferably with external qualifications to demonstrate competence and leadership capabilities in multiple markets
o Proven track record of delivering complex high profile projects, on time, on budget and to a high quality standard. (Experience in financial management of projects; average project is USD $3MM.)
o RFP and contract negotiation experience
o Extensive experience in managing vendors with positive results
o Able to achieve consistent best practices in project management process
o LEED or BREEAM experience preferred
o Civil Engineering, Construction Management, Interior Design or Architectural Degree
  • Communication: Strong verbal communication skills, able to speak to all levels within the organization as well as to third parties with clarity, credibility and authority. Strong written communication skills to be able to relay information over email effectively. Good listening skills to ensure instructions are understood in a fast paced busy team environment
  • Client service: Demonstrates a willingness to assist and resolve problems. Proactively looks for ways to improve the client experience. Able and willing to travel Internationally on a frequent basis
  • Minimum 15 years of experience construction management, Workplace Stratergy and Project Management
  • Required to travel if needed to project location
  • Ability to work on both long and short-term projects
  • Experience in managing teams and concurrent deliverables
  • Success in building and maintaining relationships including negotiation and change management
  • Self-motivated , proactive , client focused and results oriented
  • Experience with data visualization and analysis tools
  • Excellent analytical and problem solving skills, with the ability to be strategic and draw business conclusions
